In this Privacy Policy, the terms “you” and “your” refer to customers, website visitors, and mobile application users. The term “we”, “our” and “us” refer to VoyageVax, including our head office and individual pharmacies. “Personal Information” means any information which relates to or is about an individual and allows that person to be identified.

We strive to provide comprehensive healthcare services to meet the needs of our patients. We safeguard your Personal Information with care and diligence as set out in this Privacy Policy. The same care and diligence apply to Personal Information we collect online.

Scope and Application

  1. This Privacy Policy applies to Personal Information, including personal health information, of VoyageVax customers, website visitors, and mobile application users that is collected, used or disclosed by us.
  2. This Privacy Policy applies to the collection, use, and disclosure of Personal Information by us in any form, whether electronic or written. Our website and applications may contain links to third party sites, which are not governed by this Privacy Policy. Be sure to read the privacy policies of third-party sites and make an informed decision regarding your use of them.

Your Consent:

By providing your information to us online or otherwise, you consent to us collecting, storing, using, sharing, and disclosing your Personal Information as indicated in this Privacy Policy. We will obtain consent when we want to use Personal Information for a new purpose or for a purpose other than those stated at the time of collection or in this policy. You may withdraw your consent at any time by contacting us using the contact information provided in this Privacy Policy, except in limited circumstances where we are permitted or required by law to continue to use or disclosure your personal information. If you choose not to provide us with certain Personal Information or if you withdraw your consent, we may not be able to offer or provide you programs, products, or services that you requested or could be offered to you.

We regularly review our policies and procedures, and we may update this Privacy Policy from time to time. Any changes we make will become effective when the updated version is posted on our website. Personal Information from minors:

We do not actively solicit personal or other information from children under 18. If you are under 18 years of age and would like to participate in our programs or purchase our products or services, please ask your parent or guardian for assistance.

Personal Information We Collect:

We limit the collection of Personal Information to what is reasonably required to fulfill the purposes for which it was collected. We may ask for Personal Information such as your name, birth date, telephone number, email address, and street address. When you visit our pharmacies to fulfil a prescription or to access our other health services and when you use our contactless prescription delivery service, we will ask you to provide your prescription and other relevant Personal Information, including personal health information. We may access your personal health information electronically and may collect Personal Information from the prescriber of a prescription or from your other health care providers, and one of our representatives may contact you regarding your prescription. Where you request to have your prescription transferred from another pharmacy, we will contact that pharmacy and collect your prescription and other Personal Information from that pharmacy for the purposes of transferring and fulfilling your prescription.

By using those services, you will be providing us with Personal Information, including your personal health information such as your prescriptions, medical history, and your requested pharmacy location. We only collect Personal Information if we obtain your consent for its collection and use. How we obtain your consent (i.e. the form we use) will depend on the circumstances, as well as the sensitivity of the information collected. Subject to applicable laws, your consent may be express or implied, depending on the circumstances and the sensitivity of the Personal Information in question. We may collect, use, and disclose your Personal Information without your consent where required or permitted by law.

How Personal Information is Collected:

  1. Directly from you. You may provide Personal Information to us in our pharmacies, by mail, by email, over the phone, through our website or mobile applications, or in any other direct manner. When you call us, your phone calls may be recorded for quality assurance purposes.
  2. Through other sources. We may receive Personal Information from other sources, such as from your physician, nurse, or mental health support worker, where you provide your consent for the third party to provide it to us.
  3. Through our website and mobile applications. We may collect certain types of information electronically when you use our website, email, mobile applications, social media accounts, online advertising, or through the use of our or third-party technologies, which includes cookies, web beacons, single pixel gifs, and data management platforms. We use these technologies to track usage across third party websites or services to provide targeted advertising. This advertising is not based on sensitive personal information without your express consent. You can choose to opt out of targeted advertising at any time. You have a variety of tools to control the data collected by cookies, web beacons, and similar technologies. For example, you can use controls in your internet browser to limit how the websites you visit are able to use cookies and to withdraw your consent by clearing or blocking cookies.
  4. When you use our website and online applications. In addition to the Personal Information above, like most other commercial websites and applications, our website and applications may monitor traffic patterns, downloads, site usage, and related site information. We may automatically collect or compile certain information that is not Personal Information when you access the website or applications. Examples of this type of information include the aggregate and unique number of visitors to the website, the dates and times of visits to the website, the city, province and country of visitors, the pages of the website visited, the content accessed, the browsers, operating systems, search engines, and search terms used to visit the website, and HTTP errors generated.

Profile Information:

If you register with our website or mobile applications, including for the purposes of subscribing to newsletters, registering to health education clinics, accessing your medication records, requesting online prescription refills, or viewing your current and past prescriptions, you will receive a username and password when you have submitted your profile information and have completed the account sign up. You are responsible for providing true, accurate and complete information about yourself. You are also responsible for maintaining and updating your Personal Information to keep it accurate, current, and complete. Any person who has access to your account credentials may be able to access any of the Personal Information available in your account.

Use and Sharing of Information:

  1. We use your Personal Information to provide you with our programs, products, and services, including:
    1. Providing you with information for a program, product, or service
    2. Verifying your identity
    3. Creating, administering, and maintaining your accounts
    4. Processing your transactions and returns both online and in-pharmacy
    5. Fulfilling your product and service requests, inquiries, and purchases
    6. Providing you with healthcare services by our pharmacy staff and nurses
  2. When you use our contactless prescription delivery service, we will share your Personal Information with the pharmacist who will fulfill your prescription. The pharmacist will use your information in the same manner as if you had attended the pharmacy in person to fulfil your prescription. When you participate in our home monitoring service, we will disclose your Personal Information collected during monitoring visits and otherwise in connection with the service to your doctor. Certain products and services we offer are provided and sold by third parties and those products and services are governed by their respective privacy statements and policies, including Smart Devices and genetic testing services.
  3. We may provide you with our newsletter, information on health education clinics, and other information that you have requested. We send only the information you have consented to receive. You can unsubscribe to any electronic communication from our websites at any time by using the “unsubscribe” or “opt-out” options included with the communication. Even if you opted out of receiving marketing communications from us, we may still contact you for transactional purposes or to provide you with service-related information, and with questions or information regarding your orders.
  4. We use Personal Information provided by you when you register for an account to provide services, tools and resources, to administer your account with us, and to administer, maintain and improve the functioning of our website and mobile applications. We also use the information collected to monitor and improve our internal programs and operations. When you request a new prescription, or when you refill or transfer your existing prescription, we will forward this information to your selected pharmacy location and the request will be processed in the same manner as requests presented in any pharmacy. Filling or transferring your prescription may require disclosure of that information to the prescribing physician, other health service providers, and health insurers. If submitting a request on behalf of another person, it is your responsibility to obtain the necessary consent and authority to do so.
  5. We may also use your Personal Information to generate aggregated and anonymized data for internal use and analysis and for tailoring the information we provide via our website or mobile applications, newsletters and updates.
  6. We use non-identifiable information regarding the use of our website and mobile applications to improve our website and mobile applications and to assess usage of our website or mobile applications. We may provide such information to our website or application contractors for these purposes, but this information does not include any Personal Information.
  7. We are committed to providing personalized products and services to you. To do so, we use cookies to store information about you. We use cookies to tell us that you have previously visited our site, which will help us simplify and enhance your experience on our website or mobile applications.
  8. Under certain circumstances, we disclose your Personal Information if you have consented to the disclosure to fulfill the purpose for which the Personal Information was collected, when the services we are providing to you require us to share this information with third parties. We may also disclose your Personal Information in connection with an actual or proposed sale, reorganization or financing of our business or operations, or other business transaction, including to regulatory authorities or to prospective buyers and other parties to the transaction who are bound by confidentiality obligations.
  9. We may disclose your Personal Information when we are required or authorized by law to do so.
  10. We do not sell your Personal Information to any third party.

How long and where do we keep your Personal Information:

Personal Information will be retained in accordance with this Privacy Policy only as long as may be necessary or relevant for the identified purpose of collection, or as may be required or permitted by law, after which time it will be made anonymous or destroyed. We may contract with third party service providers to store, host, and otherwise use and process Personal Information on our behalf (including in Canada or United States). We will do so only if we are satisfied that the third party is a reputable and reliable service provider, and we require that the such service providers keep your Personal Information secure and only use it for limited purposes for which it is provided. By using our services, you consent to the transfer of Personal Information to countries outside your country of residence, which may have different data protection and privacy laws than in your country of residence. While such information is outside of your country of residence, it is subject to the laws of the country in which it is held, and may be subject to disclosure to the governments, courts or law enforcement or regulatory agencies of such other country, pursuant to the laws of such other country. However, our practices regarding your Personal Information will continue to be governed by this Privacy Policy. We take the security of your Personal Information seriously and use a combination of administrative, organizational, physical, and technical safeguards to avoid the loss, misuse, or unauthorized access, disclosure, or modification of your Personal Information. Despite these measures no method of information transmission or storage is 100% secure or error-free, and we cannot guarantee absolute security.

Rights concerning your Personal Information

We expect you, from time to time, to supply us with updates to your Personal Information, when required.

You may make a written request to review any Personal Information about you that we have and we will provide you with any such Personal Information to the extent required by law. We reserve the right to charge you a reasonable administrative fee to access your Personal Information. You may also challenge the accuracy or completeness of your Personal Information in our records. If you successfully demonstrate that your Personal Information in our records is inaccurate or incomplete, we will amend the Personal Information as required.

We may require that you provide sufficient identification to fulfill your request to access or correct your Personal Information. Any such identifying information will be used only for this purpose.
